Axiom Data's commitment to the health and safety of its workers, including those placed at client sites and working remotely, and the system of responsibilities, risk management, consultation, training and review that gives effect to it.
Legislation and standards this policy gives effect to
Axiom Data is a person conducting a business or undertaking (PCBU) under work health and safety law and holds the primary duty of care for every worker it engages, including workers placed with clients. We will, so far as is reasonably practicable, provide and maintain a working environment that is safe and without risk to health, including psychological health. Where our workers are at a client site, the client is also a PCBU with duties to them; we share the duty, consult and coordinate with the client, and never assume that the client's controls make ours unnecessary.
This policy applies to Ontology Analytics Pty Ltd, trading as Axiom Data (Axiom Data) and to every director, employee, labour-hire worker, contractor and agent engaged by Axiom Data, whether working at Axiom Data's premises, remotely, or on placement at a client site. Where a worker is placed with a client, this policy applies alongside the client's own policies; where the two differ, the worker follows the stricter requirement and raises the difference with Axiom Data. It covers work at Axiom Data premises, at client sites, at home, and while travelling for work.
| Role | Responsibilities |
|---|---|
| Director (Officer) | Exercises due diligence: keeps up to date with WHS matters; understands the hazards of the work; ensures resources and processes exist to eliminate or minimise risk; ensures incidents and hazards are reported and acted on; verifies that this system is implemented; reviews it annually. |
| Managers and team leads | Implement this system in their area; induct workers; consult workers on hazards and changes; act on reports; lead by example. |
| Workers (employees and placed workers) | Take reasonable care for their own health and safety and that of others; comply with reasonable instructions and client site rules; complete inductions; report hazards, incidents, injuries and unsafe conditions promptly; cooperate with return-to-work plans. |
| Clients (host PCBUs) | Provide a safe site, site induction, supervision and emergency procedures for placed workers; notify Axiom Data of incidents involving our workers; consult with us on hazards affecting them. |
Axiom Data's work is office-based ICT work, performed at client sites or remotely. The hazards most relevant to it, and our standard controls, are:
| Hazard | Controls |
|---|---|
| Ergonomic (workstation set-up, prolonged sitting, screen use) | Workstation self-assessment at induction and on change of location; adjustable equipment provided or arranged with the client; regular breaks encouraged; early reporting of discomfort. |
| Psychosocial (workload, long hours, isolation, job insecurity, bullying and harassment, exposure to distressing content) | Hours monitored against the contracted maximum (never more than the buyer's stated limit without written approval); regular check-ins with placed workers; clear escalation paths; respectful-conduct standards under POL-01; access to support under POL-09. |
| Remote and home working | Home workstation checklist completed before remote work starts; worker confirms a safe, private workspace; contact arrangements agreed; the client's working-from-home agreement followed where one applies. |
| Travel | Interstate travel planned to avoid fatigue; no driving after a full working day plus a long journey; accommodation arranged in advance where required. |
| Site-specific hazards | Client site induction completed before starting; client emergency procedures followed; hazards identified on site reported to both the client and Axiom Data. |
| Fatigue | Shift lengths and rosters, including shifts that span midnight, planned so that workers have adequate rest; fatigue reported and acted on without penalty. |
Risks are assessed using the hierarchy of controls: eliminate; substitute; isolate; engineer; administrate; and, last, personal protective equipment. Assessments are recorded on the WHS risk register, which the Director reviews at least annually and whenever a new type of work, site or hazard arises.
Axiom Data consults its workers on matters that affect their health and safety: when identifying hazards and deciding controls; when proposing changes to work, hours, sites or equipment; when making decisions about welfare facilities and procedures; and after any incident. Consultation takes place through induction conversations, regular check-ins with placed workers, and direct discussion with the Director. Workers may raise a WHS issue at any time, and may ask for a health and safety representative to be elected.
Where a worker is placed with a client, Axiom Data and the client consult, cooperate and coordinate so that each knows what the other is doing to protect the worker.
All incidents, injuries, near misses, hazards and psychosocial concerns are reported and managed under the Incident Reporting, Investigation and Corrective Action Procedure (POL-05). Notifiable incidents are reported to the regulator (WorkSafe ACT, Comcare, or the relevant state regulator) immediately, and the site preserved as the law requires.
Workers' compensation and injury management are covered by POL-07. Axiom Data maintains workers' compensation insurance for all workers in every jurisdiction in which they work, supports injured workers to recover at work where it is safe, and cooperates with treating practitioners and insurers.
At client sites, workers follow the client's emergency plan and wardens. For remote workers, the induction confirms that the worker knows the emergency services number, has a working smoke alarm and a safe exit, and that Axiom Data holds an emergency contact for them. Axiom Data maintains an up-to-date emergency contact list for all workers.
Axiom Data keeps: the WHS risk register; induction and training records; workstation and home-working checklists; incident, hazard and investigation records; regulator notifications; workers' compensation claims and return-to-work plans; and the annual WHS review. Records are retained for at least five years, and injury records for the period required by the relevant workers' compensation law.
The Director reviews WHS performance annually against: incidents and near misses reported and closed; hazards raised and resolved; inductions completed on time; workers' compensation claims; and feedback from workers and clients. The review records what has changed, what has worked and what will be improved, and is signed by the Director. This policy and the system it describes are updated accordingly.
This policy is owned by the Director and is reviewed at least annually, and sooner if legislation, a client requirement or an incident shows the need. The current version, effective date and next review date are recorded in the policy register on the Employee Resources page.
